What this site records about you

This describes what the Academy's own systems store and who can read it. It is written from how the site actually works.

What is recorded when you create an account

Your name, email address and sign-in details. Passwords are stored by the sign-in service in hashed form; the Academy never sees them. If you sign in with Google, Google confirms your identity and shares your name and email address with us.

The access you hold: your courses, paths, memberships, tool access and, for staff, their role. Each account also carries a permanent reference number used in the Academy's own records.

What is recorded when you enroll, join a waitlist or apply

Your enrollment or seat hold, the cohort and format you chose, the amount recorded against it, and whether it is paid. Card numbers are never entered on this site and are never stored by the Academy.

Waitlist entries, seat offers and whether they were taken up; early-access and partner applications; membership and coaching applications, with the answers you wrote.

For a discount that requires verification, only the decision, a reference and an expiry date are kept. Documents you show to a verifier are not uploaded to this site and are not stored here.

What is recorded while you use the portal

Course progress, work you submit, attendance at live sessions and certificates issued to you.

Anything you deliberately write or upload: questions, hot seat requests, introduction requests, discussion posts and replies, projects and their updates, and documents you place in your transaction folders.

Documents in the Vault are private to your account. They are stored in a closed file area that no browser can read directly; every download runs through the Academy's server, which checks that the file is yours before releasing it.

Who can see it

You can see your own records. Other members cannot: the database itself refuses any request for another person's rows, so this does not depend on the screens hiding them.

Academy staff can see what they need to run the Academy — enrollments, applications, requests, waitlists and cohorts. Changes to roles, access and cohort releases are written to an internal audit record showing who made them and when.

In community areas, other members see the display name you chose and what you post. Email addresses and phone numbers are never shown to other members.

Records are not sold, rented or shared for advertising. This site carries no advertising trackers.

Emails

The Academy emails you about things you asked for: sign-in confirmation, your enrollments and seat offers, decisions on your applications, and the Development Brief if you subscribed. Every issue of the Brief carries a link to change or stop it.

Brief preferences can only be opened from the link in an issue, so nobody can look up your preferences by typing in your email address.

Cookies

One sign-in session is kept in your browser so you stay signed in between pages. There are no advertising or profiling cookies on this site.

How long it is kept, and how to have it removed

Account, enrollment, payment and certificate records are kept as the Academy's business records. Work you created — posts, projects, documents, questions — is kept until you remove it or ask the Academy to remove it.

You can ask for a copy of what is held about you, a correction, or removal of your account. Ask from the Account page in your portal, or reply to any email the Academy has sent you.
